Cost Per Run: Delivery Price, Driver Hourly Rate and Vehicle KM Rate Setup

This guide explains how to configure delivery pricing, driver hourly rates, and vehicle per-kilometre rates to calculate cost per run and compare revenue against operational cost in the Manifest view.

Set the Vehicle’s Rate per Kilometre

Use the vehicle’s fuel efficiency to calculate an approximate cost per kilometre. Here’s how:
  1. Find the fuel efficiency – usually measured in litres per 100 km (L/100 km). This can be found in the vehicle’s manual or online.
  2. Get the current fuel price – use an average price per litre (e.g., $2.00/L).

Steps in SmartMove

1. Click on the Vehicles menu from the left-hand pane. From the list, select the vehicle you want to configure by clicking on its name or number.





2. On the vehicle profile page, under the GENERAL tab, scroll down to the field labeled Rate per km. Enter the estimated cost per kilometre based on the vehicle’s fuel efficiency, then click Save Changes to apply the setting..

Tip:
  1. Round up slightly to cover additional costs like tyre wear and servicing.
  2. You can also check your fuel receipts over a few weeks to calculate a more accurate average cost.


Configuring Driver Hourly Rate

1. Select Drivers from the left-hand menu, then select the driver you want to configure by clicking on their name or ID number in the list.



2. Under the General tab, update the Rate per hour $ field and click Save changes at the bottom left.

This can be entered as the driver’s direct hourly rate, or as their total wage amount divided into an hourly rate.

Review these values periodically to maintain accuracy.


Adding a Delivery Price to an Order

1. Click Orders, select the order by clicking its order number.




2.  Scroll down to the Payment section. Enter the Delivery price (AUD), then click Save changes.





Manifest Order Amount vs Route Cost

  1. Manifest Order Amount is the total delivery revenue of all orders assigned to the manifest. This value is derived from the Delivery price (AUD) field set within each order.
Notes
In the example below, the Manifest Order Amount is the total sum of the Delivery price set on each order allocated to the run.
  1. Route Cost is the estimated operational cost of completing the manifest. It is calculated using the driver’s Rate per hour, the vehicle’s Rate per km, and the total route time and distance.
By comparing the Manifest Order Amount against the Route Cost, you can quickly determine whether a run is profitable or operating at a loss, provided a delivery price has been set on each order.


















When delivery pricing and cost rates are configured correctly, the manifest view provides clear visibility into both revenue and operational cost.
