Vehicle Costs

Vehicle Costs allow you to set the operating rate per kilometre for each vehicle. This rate helps track the running cost of a vehicle across each run.


Setting the Vehicle’s Rate per Kilometre

Use the vehicle’s fuel efficiency to calculate an approximate cost per kilometre. Here’s how:
Find the fuel efficiency – usually measured in litres per 100 km (L/100 km). This can be found in the vehicle’s manual or online.
Get the current fuel price – use an average price per litre (e.g., $2.00/L).

InfoExample: (At the time of writing) a 2025 Toyota Hilux in Sydney averages around 7.6 L/100 km, and diesel is roughly $1.87/L, giving an estimated cost of about $0.14 per km (fuel only).

  1. This provides a baseline operating cost per kilometre.
  2. Review fuel receipts over several weeks to calculate a more accurate long-term average.

Below are the steps to update a vehicle’s rate per kilometre

1. Go to Vehicles from the left-hand menu and select the vehicle you want to configure.



2. Scroll to the Rate per km field under the General tab of the vehicle profile, enter the calculated cost per kilometre, and click Save Changes.


Idea
Once you’ve established a consistent rate, you can also round it up slightly to account for wear and tear, servicing, and unexpected running expenses.
